Generative Artificial Intelligence (GenAI) Usage Policy

Purpose

This policy outlines the appropriate use of Generative Artificial Intelligence (GenAI) tools by AMAPCEO activists in the performance of their union-related responsibilities.

Definitions

  • Artificial Intelligence (AI): Technology that enables machines to mimic human intelligence, including understanding language, learning, and problem-solving.
  • Generative AI (GenAI): A subset of AI that uses machine learning and large datasets to generate original content such as text, images, audio, video, or code.
    Alternate definition (Google): GenAI refers to AI that can generate new content based on existing data, often in response to user prompts.

Policy Statement

AMAPCEO acknowledges the growing availability and sophistication of GenAI tools. While these tools can enhance productivity, they also pose significant risks, including:

  • Copyright infringement 
  • Legal and ethical concerns 
  • Cybersecurity vulnerabilities 
  • Data privacy breaches 
  • Reputational harm due to inaccurate or biased content 

Therefore, GenAI tools must be used with extreme caution.  At this time, Microsoft Co-Pilot is a permitted tool. 

Prohibited Uses of GenAI

Activists must not use GenAI tools for:

  • Recording any AMAPCEO meetings or conversations, including for minute-taking 
  • Drafting or formatting final versions of official documents 
  • Communicating about sensitive matters, such as:
    • Grievances
    • Ombudsperson complaints
    • Member-specific issues
  • Inputting personal or confidential information about members or union business 
  • Accessing unauthorized data or systems 
  • Creating or spreading false, misleading, or unethical content 
  • Violating copyright or intellectual property laws, including the generation of art and/or images

Activists should also:

  • Avoid inputting sensitive or private/confidential data into GenAI systems

Permitted Uses of GenAI

GenAI tools may be used for non-sensitive, preliminary tasks, such as:

  • Drafting general-purpose emails (e.g., meeting invitations, thank-you notes) 
  • Language translation 
  • Creating outlines or templates for documents (without including confidential information)

All GenAI-assisted content must be reviewed for:

  • Accuracy 
  • Bias or discriminatory language 
  • Compliance with AMAPCEO policies 

Roles and Responsibilities

All AMAPCEO activists are responsible for safeguarding the privacy and confidentiality of information obtained through their union-related activity. 

Before using GenAI tools, activists should pause to reflect on why they need to use the GenAI tool and whether they would be inputting any private or confidential information into the tool. 

If an activist is unsure whether they may or should be using a GenAI tool, they should refrain from using the tool.

The AMAPCEO office is on the traditional unceded territory of Haudenosaunee speaking nations, including the Wendat, Seneca and Mohawk. These nations have been here since time immemorial and were in more recent times joined by the Mississaugas of the Credit.
